·Providedetailedhandovernotes/briefingstoensureallworkcanbemanagedinyourabsence
·Ensuretimesheetsaresubmittedandcompletedontimeandallocatedtothecorrectaccounts
·Respondtorequestsfromseniormanagement
·Manageinternaladmin,holidays,sickdaysetc.andtakeresponsibilityforalltimesheetaccuracyfromanydirectreports
ClientManagementResponsibilities
·Immerseyourselfintheclient'sbrandandoffering
·Ensureclientsunderstandagreedworkflowsandmanagethemthroughtheprocess
·Setandmanageclientexpectationsdeliverablesandtimeframes
·Escalateallseriousclientissuestoyourlinemanagerimmediatelyandrecommendsolutionswhereverpossible
·IdentifyareasforimprovementofexistingworkflowandprocesseswhichcouldbenefitHogarthand/ortheclient
·Buildstrongdaytodayrelationshipswithallclientsandagencystakeholders-communicationiskey
·Ensurethatyourlinemanagerisawareofallclientissues(includingpotentialdelays)toensureswiftresolutionandavoidescalation(recommendsolutionswhereverpossible)
·Strivetobetterclientandstakeholderrelations
·Identifytrainingrequirementsandopportunitiesforclientstoensuretheiradherencetoprocessesandimproveworkflow
·Provideweeklystatusreportstoclients(oratintervalspre-agreedwiththeclient),accompaniedbyameetingorcallasperclientneeds
·Provideagendasanddetailedcontactreportfollowingallclientmeetings(facetofaceandphonecalls)
ProjectManagementResponsibilities
·Co-ordinatebetweenallrelevantparties-internal(Print,Broadcast,Digitaletc)andexternal(Clientsandagencies)wherenecessarytoensurethingsgetdone
·ConsistentlydeliveragainstallcontractualobligationsincludeSLAsandKPIs
·Followagreedworkflowsandutiliserelevantprojectmangementtools-FIDO,Tradosetc.
·Checkallmaterials(PDFs,emails,adsetc.)andensurequalitycontrolprocedureshavebeenfollowedbeforesendingtoclients
·KeepSAM/AD/GADupdatedonstatusofprojects
·Collateanyinformationneededforinputtoclientreportsandpresentations
·ResponsibleforuploadingreferencematerialstoFIDO
·Helpsorganise,attends(ifrequired)andminutesinternalteammeetings
·ManageyourworkloadeffectivelyandhighlighttoyourLineManagerifsupportisrequiredtoensuresuccessfulcompletionofaproject
·Provideadministrativesupporttoteamasrequired
·Manageallclientprojectsfrombriefthroughtodeliveryensuringfinalmaterialsareontimeandofthehighestquality
·Whereprojectmanagers/producersareinvolved,takeresponsibilityforongoingcommunication,trackingprojectprogressandstatusvsschedule,timings,delaysetc
·Manage,monitorandupdatealltimelinesandsetrealisticexpectationswithclients
·Monitorinternalworkflows,identifyareasforimprovementandmakerecommendations
·Ensurecleardivisionofresponsibilityforappropriatefilesateachstageoftheproject

·Highlightandescalatequalitycontrolissues
·Actasabrand/QCguardian-alwaysensurebrandguidelinesandQCchecklistsandproceduresarefollowed
·Ensurethebestexternaltalentisalwaysused-freelancers,translators,proofreaders,copywriters,plannerswherenecessary(liaisewithrelevantdept.headsandensuretheypassrelevanttests)
